These Terms and Conditions govern the provision of tuition services by Willora Tutoring ("the Tutor"). By registering for tuition, the Parent/Guardian/Student ("the Client") agrees to be bound by these Terms and Conditions.

1. One-to-One Tuition

1.1 Provision of Services

Tuition is provided at an agreed day, time, and hourly rate. The Tutor will make reasonable efforts to support the Student's learning; however, no guarantee of academic outcomes is given.

1.2 Fees and Payment

Fees are charged at the agreed hourly rate and are payable monthly in advance by bank transfer. Invoices will be issued on the 21st of each month, with payment due no later than the 1st of the following month.

Failure to make payment by the due date will result in a payment reminder. If payment remains outstanding, tuition may be suspended and the allocated slot offered to another Student. Lessons must be paid for at least 24 hours in advance. Weekly advance payments may be accepted by mutual agreement.

1.3 Attendance, Timekeeping, and Technical Issues

Students are booked into a fixed time slot. The Tutor will be present for the full duration of the agreed session. If the Student arrives late, the session will still end at the scheduled time. If the Student fails to attend within the first 15 minutes and no communication has been received, the Tutor may leave and the lesson will be deemed to have taken place.

If the Tutor is late, any missed time will be added to the session or a future lesson. Students are responsible for having a stable internet connection and suitable equipment. The Tutor is not responsible for missed lessons or disruption caused by technical issues on the Student's side. No refunds or credits will be issued, though an alternative lesson may be offered.

1.4 Cancellations, Rescheduling, and Illness

The standard cancellation policy applies in cases of illness, unless otherwise agreed at the Tutor's discretion. If the Tutor must cancel, the lesson will be rearranged, refunded, or credited. The Tutor may terminate tuition where there are repeated cancellations or lack of commitment.

1.5 Tutor Absence and Cover

If the Tutor is unable to deliver a scheduled lesson due to illness or unforeseen circumstances, a suitably qualified cover tutor may be arranged. Where cover is provided, the lesson will be deemed to have taken place. If cover cannot be arranged, the lesson will be rearranged, refunded, or credited.

1.6 Recording, Privacy, and Learning Materials

Lessons are not recorded unless agreed in advance. Students/Clients must not record, screenshot, photograph, or share any part of a lesson or materials without prior written consent. All materials remain the intellectual property of the Tutor and are for the Student's personal use only.

1.7 Parental Responsibility

For Students under 18, a parent or guardian is responsible for ensuring attendance and compliance with these Terms. The Tutor is not responsible for supervising Students outside the agreed lesson time.

1.8 Termination

Either party may terminate tuition if it is no longer considered beneficial, subject to settlement of outstanding fees.

2. Group Tuition

2.1 Bookings and Payment

Group sessions are booked in blocks (e.g., four sessions per block). Full payment is required in advance to secure a place. Places are confirmed once payment is received and acknowledged. Payment must be made by bank transfer using the Student's full name as the reference. Invoices will be issued on the 21st of each month, with payment due no later than the 1st of the following month. Microsoft Teams access details will be issued prior to the start of each block.

2.2 Attendance and Timekeeping

Students are expected to attend punctually. Late entry is permitted; missed content will not be revisited. If the Tutor is late, the missed time will be added to the session or a future session.

2.3 Missed Sessions

No refunds are available for missed group sessions. Students may request the work covered; returned work will be marked if submitted within the same week.

2.4 Code of Conduct

Students must behave respectfully and appropriately at all times. Disruptive, unsafe, or inappropriate behaviour will result in removal and possible exclusion without refund. Additionally:

2.9 Learning Materials

All materials remain the intellectual property of the Tutor and are for personal use only. Materials may not be copied, shared, or redistributed without written permission.

3. Limitation of Liability

The Tutor does not guarantee any specific academic outcomes. To the fullest extent permitted by law, the Tutor accepts no liability for any direct, indirect, incidental, or consequential loss arising from tutoring services or materials.

4. Data Protection

Personal information provided by the Client will be used solely for the purpose of delivering tuition services. The Tutor will handle data in accordance with applicable UK data protection laws (UK GDPR and the Data Protection Act 2018). Personal information will not be shared with third parties without consent, unless required by law.

Clients may contact hello@willoratutoring.co.uk to request access to, correction of, or deletion of their personal data.

5. Safeguarding

Willora Tutoring is committed to safeguarding the welfare of children and young people in line with Scottish Government guidance. All tutors hold a current PVG (Protecting Vulnerable Groups) scheme membership, as required for regulated work with children in Scotland.

Online lessons are conducted in a professional environment; all communication is appropriate, lesson-focused, and takes place via official Willora Tutoring channels only. Tutors will not communicate with Students under 18 via personal social media, personal email, or personal phone numbers.

Any safeguarding concern will be reported to the appropriate authority in line with our safeguarding obligations. Parents/Guardians are responsible for supervision of Students outside of lesson time.

6. Acceptance of Terms

Registration for tuition constitutes full acceptance of these Terms and Conditions. Where requested, the Client may be asked to sign and return a copy of these Terms prior to the first session. A digital signature or written confirmation by email is acceptable.

These Terms supersede any previous verbal or written agreements between Willora Tutoring and the Client. Willora Tutoring reserves the right to update these Terms; Clients will be notified of material changes with reasonable notice.

7. Governing Law

These Terms and Conditions are governed by and construed in accordance with the laws of Scotland for Scottish clients, and the laws of England and Wales for clients located in England or Wales. Any disputes arising under these Terms shall be subject to the exclusive jurisdiction of the courts of the relevant jurisdiction.
